How to Handle Shared Insights When the Owner or Creator Leaves the Team

When using the shared Exploratory server (exploratory.io), certain actions are necessary if the owner or creator of insight leaves the team. Following these steps will help prevent issues such as data connection errors or problems with scheduled exports.


1. Review and Update Data Connections

If the shared insight uses external data connections, such as a database, please follow these steps:

  1. Review and Update Data Connections
    If the retired user’s database connection details (e.g., username or password) are included, another team member must update the data connection information on their desktop.

  2. Republish the Insight
    After updating, republish the insight to the server. Failing to do so may cause connection errors, as the system will attempt to use the retired user’s database credentials.


2. If Scheduled Results Are Exported to Google Sheets

If the insight is set to export scheduled results to Google Sheets, the author’s OAuth token is required. For insights created by a retired user, follow these steps:

  1. Unpublish the Insight
    Unpublish the insight from Exploratory Desktop.

  2. Republish the Insight
    Republish the insight to the same team. The previously used insight URL will remain the same.
    Without this process, the OAuth token of the retired user will be invalid, resulting in export failures to Google Sheets.
